*POSITION: *Front Office Coordinator
*STATUS: *Full Time (M-F 8:00am – 5:00pm with an hour lunch)
*PAY RANGE: $16.
00/hour - $18.
00/hour DOE & Qualifications*
*SUMMARY: *The Front Office Coordinator is responsible for overall front desk activities for busy Construction, Real Estate and Development firm.
This position sets the tone for the overall experience of our clients and will be the first point of contact for the company.
This position is responsible for the management of the reception area and meeting areas, customer service, phones, mail, office supplies, and will provide assistance on projects and any additional administrative support necessary for the organization.
*KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:*
· Excellent oral and written communication skills;
· Exceptional customer service skills;
· Proven ability to handle confidential information with tact and discretion;
· Proficient with MS Office, including Word and Excel;
· Thorough knowledge of modern office equipment, including multi-phone lines systems, fax, copies, and scanner, etc;
· Ability to maintain cooperative working relationships with other employees and organizations;
· Ability to work individually or as part of a team;
· Thorough knowledge of administrative practices;
· Be service-oriented with the ability to pay attention to details in a fast-paced environment;
· Ability to produce accurate results in documents and data entry.
*ESSENTIAL DUTIES AND RESPONIBILITES*:
· Provides exceptional customer service in person and on the phone to clients: Greeting, welcoming and directing clients for both construction & real estate companies;
· Notifies relevant employees when visitors arrive;
· Signs for deliveries and ensures all mail and packages are distributed accordingly;
· Updates, organizes, and administers outlook calendars and schedules appointments and meetings;
· Submits electronic reporting to various entities using proprietary software;
· Prepares reports for real estate as requested;
· Filing;
· Supervises errand staff member and office services;
· Communicates as necessary to keep owner, agents, and co-workers informed;
· Uses alphabetical and numerical systems to organize paper and electronic records;
· Scans paper documents and certifies that scanned documents are clear and legible;
· Uploads digital files and data;
· Other duties as assigned.
*PHYSICAL DEMANDS:*
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; stoop; kneel; crouch.
The employee must occasionally lift and/or move up to 15 pounds.
*ACCEPTABLE EXPERIENCE AND TRAINING*
· Any equivalent combination of experience and training which provides the knowledge, skills, and abilities necessary to perform the work.
· Background in construction, real estate and/or marketing is a plus.
